Planning access for commercial window cleaning

Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.

Request a quote

Access planning means agreeing how the specified windows can be approached and who coordinates the site. It starts with practical information from the building contact, then informs the team's assessment and proposed working arrangement. This guide is a quote-preparation checklist, not a method statement for carrying out the work.

Identify the person who can arrange access

The person requesting a quote may not control every gate, room or adjoining area. Name the local facilities contact and explain where a landlord, tenant or neighbour must give permission. For a managed site, make the boundary between your premises and shared space clear.

Provide a suitable way to reach the site contact, but do not put access codes, keys or security instructions into public page comments or building photographs. Detailed arrangements can be exchanged through an agreed channel when needed.

Describe the approach to the glass

  • Entrances, gates and routes around the building.
  • Parking, loading areas and space beside the elevations.
  • Obstructions such as lower roofs, canopies, fixed equipment or secure courtyards.
  • Internal rooms, stairs or restricted areas needed to reach particular windows.

A wide photograph can support this description, but also explain restrictions that are not visible. The team needs to assess the actual conditions before choosing a method; a clear route on an image is not itself permission to use it.

Explain how the site is occupied

Include opening hours, pedestrian routes, vehicle movements and any periods you would like considered. Where an escort, sign-in procedure, induction or permit is required, state the requirement early. The team can then confirm what is feasible before the visit is booked.

For internal work, identify who can prepare rooms and coordinate occupants. For external work, clarify who manages nearby areas that might need to be made available. Do not assume a general booking automatically resolves these dependencies.

Agree changes before the visit

If building work, parked equipment, a new tenant or another change affects access after the quote, tell the team. The scope or arrangement may need review. The confirmed plan should describe the work and site conditions actually expected, rather than relying on an earlier photograph that no longer represents the premises.
