Keys, access permissions and site contacts for window cleaning
Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.
Request a quoteA commercial cleaning booking needs a clear access contact for every included area. The person approving the quotation may not hold the keys or control the land beside the windows, so identify those responsibilities before attendance.
Map the access chain
Start at arrival: who admits the team and where should they report? Follow the route through gates, shared yards, locked corridors and internal rooms. For each controlled point, record the person or role authorised to release it and the period when they are available.
Use location labels from the cleaning scope. “Rear courtyard gate” and “second-floor meeting rooms” are more useful than a general note that reception has access. Check whether reception actually controls both areas or needs another member of staff.
Confirm permission as well as physical entry
A keyholder may be able to open a gate without being authorised to agree work on shared or neighbouring land. Identify the manager who can confirm that access is permitted for the proposed cleaning arrangement. Where a landlord or adjoining occupier is involved, make the relationship clear.
The team assesses the building and approach before confirming the method and scope. A route shown on a photograph is helpful, but it does not establish ownership, permission or availability. Your contact map supplies those missing facts.
Agree a private, practical handover process
State whether access is provided by an on-site contact, reception, an escort or another approved arrangement. Detailed key, code or security instructions should be exchanged through the agreed private channel when needed. They do not belong in public page comments, shared photographs or general tenant notices.
If your organisation requires a sign-in record or a specific key return procedure, explain it before the visit. Ask how the process will be coordinated and who confirms completion. Do not assume the cleaning team can accept any proposed keyholding arrangement without discussion.
Prepare for the missing contact
- Name a main coordinator for the whole booking.
- Confirm an authorised alternative where the site can provide one.
- Record which areas depend on each contact.
- Agree whom to call if access is unavailable.
- Confirm how any change to scope or attendance is approved.
For example, reception may admit the team while a facilities colleague releases the rear yard. If that colleague is absent, the impact is the yard elevation, not necessarily every window. A specific contact map makes that problem easier to explain and resolve.
Access contact FAQs
Should access codes be sent with the initial photographs?
No. Describe the access requirement and the responsible contact. Any necessary security details can be exchanged later through the agreed private process, once the work and attendance arrangements are established.
What if the keyholder changes between visits?
Update the contact record and confirm the replacement understands the agreed scope and arrival procedure. For recurring cleaning, stale access information can undermine an otherwise suitable programme.
