Coordinating window cleaning with building tenants

Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.

Tenant coordination works best when the building manager separates three questions: who commissions the cleaning, who controls access and who prepares the occupied space. The answer may be a different person for each part of a building.

Map responsibility before setting a date

Use the agreed cleaning scope to identify external elevations, communal entrances and tenant interiors. Record the responsible contact for each. A landlord's instruction for the façade does not automatically authorise entry into private rooms or another occupier's workspace.

Area Coordination needed
External elevation Person who commissions work and controls adjoining access
Shared lobby Building manager or reception contact
Tenant rooms Occupier who can release rooms and arrange preparation
Shared yard Manager who coordinates gates, vehicles and other users

Give tenants a short, specific notice

Once attendance is agreed, communicate the relevant date or period, the areas included and the preparation needed. Use room or elevation names that tenants recognise. A message saying “window cleaners are coming” leaves too much uncertainty about internal access and the items beside the glass.

Ask for confirmation of the arrangements that depend on the occupier, such as releasing a meeting room or moving a display. Provide one route for reporting a conflict. Keep key or security details in the agreed private process rather than general notices.

Resolve conflicts against the scope

Suppose one tenant can release its rooms during the agreed period but another has a full appointment schedule. Identify the affected windows and discuss that specific access issue with the cleaning team. Do not assume the whole building must change or that the unavailable rooms will automatically receive another visit.

Any change to timing, scope or attendance should be confirmed through the person authorised to approve it. If the solution changes the quoted arrangement, ask what needs revising before work proceeds. This keeps practical coordination aligned with the commissioned service.

Keep a small shared record

  • The current scope and version date.
  • The named contact for each occupied area.
  • Preparation confirmed and any outstanding access issue.
  • Changes reported since the quotation or previous visit.
  • Any area to discuss before the next attendance.

For a recurring programme, update the record when tenants move, room layouts change or a gate has a new manager. A contact list is useful only if the people named still control the relevant access.

Tenant coordination FAQs

Should every tenant contact the cleaner separately?

A nominated building coordinator can keep the overall arrangement clear. Individual occupiers should still provide their room-access and preparation details through the agreed process, especially where they control private spaces.

What if a tenant asks for extra windows on the day?

Identify the request and refer it to the authorised coordinator. Additional surfaces may need a revised assessment, scope or price, so they should be agreed explicitly rather than assumed to belong to the original booking.
