Recording surface condition before exterior cleaning

Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.

A surface-condition record describes what is visible before exterior cleaning and where it is located. Use dated, labelled photographs and factual notes to help the team assess the requested work without confusing existing damage with removable soiling.

Give every observation a location

Start with the site, building and elevation. Take a wider image that locates the concern, then a closer image from an accessible position. A close-up of a stain is difficult to assess if nobody can identify its height, material or position on the building.

Use the same labels as the cleaning scope. For example, “Block A, rear render, below upper-right window” links the observation to a specific surface. Record the date and whether the appearance has changed since a previous photograph.

Describe what you see without diagnosing it

Useful notes include colour, extent, texture as visible and whether the area appears wet or dry at the time. Identify flaking paint, cracking, loose components or damaged seals where known. If you do not know the material or cause, state that uncertainty.

A dark patch, cloudy pane or discoloured panel can have more than one explanation. The cleaning enquiry should preserve the evidence rather than turn an observation into a promise that a particular treatment will remove it.

Bring existing material information together

  • Manufacturer, installer or maintenance guidance already held.
  • Known coatings, decorative finishes or applied films.
  • Previous repair or cleaning information relevant to the area.
  • Any reported leak, fragile section or other condition concern.
  • The desired cleaning result, expressed separately from the observation.

For example, a manager may want a cleaner-looking rendered wall while also recording a cracked section. The appearance request and the defect should remain separate in the scope. Cleaning is not a substitute for determining whether a repair is needed.

Connect condition with access

Show the ground and structures below the surface. An upper patch above a canopy may require different assessment from a similar mark beside an entrance. Include any restrictions on accessing the area and the contact who can provide further information.

The team reviews the surface, condition and approach before agreeing a proposed method and price. Where uncertainty remains, further assessment may be needed. Keep the record as a shared reference for that discussion rather than using it to select a method yourself.

Use the record after the work

Compare observations using the same location labels and similar views where useful. If a concern remains, identify the specific area and discuss it against the agreed cleaning scope. A factual record makes the conversation more precise than describing the entire building as unchanged.

Condition-record FAQs

Should existing damage be included in a cleaning enquiry?

Yes. Clearly identify it as an existing condition and provide any relevant history. This helps the assessment consider the actual surface and prevents a repair issue from being hidden inside a cleaning request.

Do photographs prove what caused a mark?

Not necessarily. They document appearance and location, which are useful evidence, but the cause or appropriate response may require further assessment and information about the material.
