Preparing a commercial window-cleaning first visit

Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.

Request a quote

A successful first-visit handover connects the accepted cleaning scope with the people and access on site. Confirm the current building details, prepare the agreed areas and identify how questions or changes will be handled when the team arrives.

Before attendance: establish one agreed version

Keep the accepted quotation and its window schedule together. Check the site address, buildings, elevations and internal rooms included. If optional work was discussed but not accepted, make that distinction clear so an informal conversation is not mistaken for an instruction.

Give the local site contact the same version. Someone who has only seen the booking date may not know that rear windows, internal doors or a separate annexe are part of the job. Walk through those details before the visit rather than leaving the arrival handover to discover them.

Prepare the access that was actually agreed

  • Confirm the reporting point and person admitting the team.
  • Check who can release gates, courtyards and internal rooms.
  • Arrange the agreed preparation beside the windows.
  • Tell relevant occupants which areas are included.
  • Report changes to the site since the quotation.

Preparation should follow the agreed arrangement. Identify anything that cannot be moved or released as expected, such as a fixed display, sensitive equipment or an occupied room. The team can then review the effect on access without discovering the issue midway through the work.

At arrival: focus on changes and location

The handover should identify the site contact, the route to included areas and any difference from the assessed conditions. Examples include a new canopy, another contractor using the yard or a gate now controlled by a different occupier. Point to the relevant location in the scope.

If a new request arises, separate it from the agreed work. An additional elevation or unusual deposit may need further assessment and a revised price. Confirm who has authority to approve changes so the team is not left interpreting an instruction from someone outside the commissioning process.

Afterwards: capture what the next visit needs

Use the agreed scope to discuss any questions about the attendance. If an area was unavailable, record the exact windows and the cause, then confirm the next step. Do not assume that a follow-up date or revised programme has been arranged without discussion.

For recurring cleaning, the first visit is an opportunity to improve the access record. Update room names, contact details and preparation instructions that proved unclear. Retain the accepted scope as the reference point rather than replacing it with an informal memory of the day.

First-visit FAQs

Should the person who requested the quote be present?

The useful requirement is an informed local contact who can arrange access and refer decisions to the authorised person. If the buyer is elsewhere, make sure the site coordinator has the accepted scope and understands the handover.

What if the building changed after the assessment?

Report the change before attendance where possible, with photographs or a clear description. The team can assess whether the proposed method, scope or arrangement needs to be updated.
