Agreeing completion records for commercial window cleaning
Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.
Request a quoteA useful completion record connects a cleaning visit to the agreed scope. It should make clear which site and areas were attended, any exceptions and the next action, using a reporting format agreed before the work.
Decide what the record needs to support
A small shop owner may need a straightforward confirmation, while a portfolio manager may need a site reference that matches an internal maintenance system. Explain that purpose when discussing the quotation. Ask what format can be provided rather than assuming a particular certificate, portal or photographic report is included.
Keep the requested detail proportionate to the premises. A record becomes less useful if it repeats general wording without identifying the actual building or windows. The accepted scope is the reference point for what the visit was intended to cover.
Use consistent fields
- Site address and building or unit reference.
- Date of attendance and the scope version or agreed areas.
- Areas completed, described with the same labels as the window schedule.
- Any access issue, changed condition or excluded area relevant to the visit.
- The agreed follow-up contact or next action, where needed.
For example, “Block B rear windows unavailable because the courtyard gate remained locked” is more informative than “access issue”. It identifies the affected part without implying that the whole site was incomplete or that a return visit has already been arranged.
Agree photographs only where they answer a question
If images are useful, specify the areas or concerns they should document and any site restrictions. A general façade photograph may show overall presentation but may not establish the condition of every pane or the inside surface. Match the evidence to the purpose instead of asking for images simply to increase the volume of reporting.
Avoid including people, confidential material or security information. Where photography is restricted, discuss an alternative record with the responsible site contact. The reporting arrangement should fit both the work and the premises.
Make exceptions actionable
Review any exception against the scope and ask what needs to happen next. An inaccessible room may need a keyholder; an unexpected damaged pane may need the building manager's attention. Separate those issues from an additional cleaning request, which may need its own assessment and agreement.
For recurring work, retain the record with any updated access information. Repeated exceptions can reveal a coordination problem that a simple confirmation of attendance would miss. Use that evidence when reviewing the programme rather than allowing the same unclear issue to recur.
Completion record FAQs
Does every job include photographs?
Ask what reporting can be agreed for your premises. Photographs should not be assumed to form part of every quotation, and site restrictions may affect what can appropriately be captured.
Is a completion record the same as an invoice?
They serve different purposes. An invoice records the commercial charge, while a completion record describes the attendance and scope. If your process needs both connected by a site reference, explain that before work begins.
