Changing commercial window-cleaning contractor

Practical information to help you plan the work, prepare your enquiry and agree a clear commercial cleaning scope.

When changing commercial window-cleaning contractor, start by documenting the service your building needs now. Review the existing arrangement, record the current scope and condition, then give the new enquiry a clear access and first-visit brief.

Understand the arrangement already in place

Check the existing agreement for the terms and dates relevant to ending or changing the service. Keep this separate from the new supplier's quotation. A new cleaning proposal does not itself resolve obligations in another arrangement.

Identify who in your organisation can approve the change and who coordinates the premises. Where several buildings or departments are involved, confirm whether the transition applies to all sites or only selected locations. An incomplete site list can create overlapping or missing instructions.

Rebuild the scope from the building

Use the current window schedule if it remains accurate, but check it against the premises. Tenants may have moved, rooms may have changed use and additional glass may have been installed. List internal surfaces, doors and shared areas explicitly instead of assuming they transfer within a familiar service name.

Record the last known cleaning date and photograph the present condition. If the starting clean needs to address a longer period of ordinary soiling or unusual residues, describe that separately. The new quotation should not rely on an unverified assumption that every window is already in maintenance condition.

Transfer useful information through the right contacts

  • Building and elevation labels used by staff.
  • Local contacts and the rooms or gates they control.
  • Known access restrictions and relevant site procedures.
  • Preparation responsibilities for displays, desks and parking.
  • Outstanding areas that need assessment or clarification.

Share information your organisation is authorised to provide. Detailed security instructions belong in the agreed private handover process. Confirm any required changes to key or access arrangements with the responsible site manager rather than assuming the new supplier inherits them.

Make the first visit a defined starting point

Agree the initial scope, attendance and any reporting needed before work begins. If a recurring programme is proposed, distinguish its frequency and surfaces from the first-clean requirement. Keep the accepted quotation and schedule available to the local contact.

After the first attendance, review specific questions against that scope. A rear window unavailable because a gate remained locked needs an access solution; a newly requested sign needs a separate scope discussion. Accurate records make the transition easier to manage.

Changing contractor FAQs

Can the previous cleaning specification be reused?

Yes, if it still reflects the building and you are authorised to share it. Review its surfaces, access assumptions and exclusions, then update anything that has changed before using it for a new quotation.

Should the new contractor match the old frequency?

Provide the previous interval as background, then describe the current condition and presentation needs. The proposed programme should be assessed for today's premises rather than copied automatically from an earlier arrangement.
