How to record glass condition at a property handover
A useful handover record says where a mark is and what was observed, while keeping the desired cleaning task and any unresolved question separate.

Give the observation a location
A glass-condition note is most useful when another person can find the same pane without guessing. Start with the room or elevation, then identify the window and position within it. Add the date of the observation. “Rear bedroom, right-hand lower pane, narrow pale line near the edge” communicates more than “damaged window” when the cause and nature of the line are not known.
Keep this record practical. Its purpose here is to support a property handover and an informed cleaning enquiry. It does not establish when a mark appeared, what caused it or who is responsible. Avoid turning an uncertain appearance into a conclusion simply because a form has a short comments box.
Separate three different pieces of information
The observation describes what you can see. The requested task describes what you want cleaned. The outstanding question identifies something the observation cannot settle. Keeping those three entries distinct makes it easier for the next person to choose a sensible response.
| Entry | Hypothetical wording | What it avoids |
|---|---|---|
| Observed appearance | A small cloudy area is visible in the lower corner. | Claiming a cause from appearance alone. |
| Cleaning request | Please assess routine cleaning of the inside face. | Assuming that every visible feature will be removed. |
| Open question | The affected surface and cause are not known. | Turning uncertainty into a repair diagnosis. |
Use ordinary words for colour, position and extent. If a feature is known from earlier paperwork, record that information accurately and identify the document. If you are relying on memory, make that clear. A dated note about what someone remembers should not become a dated photograph that does not exist.
Pair a detail with enough context
Where photographs help, take a wider view showing the window and a closer view of the relevant area from a normally accessible position. Keep the same room name or reference on both. A detailed picture is difficult to use if the next occupant cannot identify which of several similar panes it shows.
Record unusual viewing conditions in plain language if they affect what is visible, such as a mark noticed only in a particular light. Do not edit the image to make a feature appear stronger. Keep people, private documents and access information outside the frame. If the feature cannot be photographed clearly, a neutral written description remains useful.
Preserve uncertainty instead of testing the surface
A handover deadline is not a good reason to try progressively stronger treatments on an unfamiliar pane. Pass on known coatings, applied films, previous work and the product information already available. Those facts may matter to assessment even where the visible mark seems small.
The Glass and Glazing Federation advises a glass repair specialist's assessment where repair or replacement is uncertain. That is a separate question from arranging ordinary surface cleaning. Recording the question clearly helps keep it with the right next step, without promising that a cleaning visit will resolve it.
Connect the record to the agreed work
When enquiring about one-off window cleaning, describe the faces wanted and flag the particular observation. Do not send a long collection of unexplained close-ups and expect it to define a cleaning scope. A short note plus the relevant image is easier to discuss.
For managed premises, the commercial surface-condition guide offers a fuller way to connect locations, material information and access. A household handover may need only one page. Match the amount of documentation to the decision, rather than creating a report for every ordinary fingerprint.
Pass forward the unresolved point accurately
After an agreed clean, update the task entry without rewriting the original observation. If a feature remains, note its current appearance and the next question to ask. Do not label it permanent merely because it remains visible, or removed unless that is what was observed.
The final handover note should leave the next person with a usable location, relevant product information and a clear distinction between completed cleaning and an open assessment question. That is a stronger practical record than a broad claim that all glass is perfect or that every mark is damage.
