Advice from Monk Cleaning Services

Build a useful window-care handover pack

A small handover pack should let the next occupant or manager find the right product information and understand what cleaning has actually been arranged.

An open folder contains four labelled sheets for window locations, product care, agreed cleaning and outstanding questions, with a short index beside it.

Design the pack for the next reader

A useful window-care handover pack answers a few practical questions: which window is being discussed, what product information exists, what cleaning has been arranged and what remains unresolved. It does not need to become a complete history of the property. Choose material that helps the next occupant or manager make a decision without contacting several people to decode your notes.

Start with a one-page index and place the supporting documents behind it, digitally or on paper. Use familiar room names and building references. If the pack is for a home, a front-bedroom label may be enough. For several buildings, use the block and elevation names already used in the management records.

Give each item a purpose

Product documents, cleaning instructions and condition notes answer different questions. Keep them identifiable rather than combining everything into a long message. A manufacturer reference describes a product; a quotation describes proposed work; a dated observation describes what someone noticed. None should silently replace the others.

Section Useful contents Check before passing it on
Window locations A short list or sketch naming relevant rooms and features. Can the next reader find the same window?
Product care Known product references and the matching care documents. Is each reference linked to the correct location?
Cleaning scope The current agreed surfaces and service arrangement. Is this the accepted version rather than an old option?
Open questions Specific condition or access points awaiting a response. Is uncertainty clearly preserved?

This structure is a suggested template. A straightforward property may need only a few lines in each section. Leave an entry marked unknown where necessary rather than make the pack appear more complete by guessing the glass type, installation date or cause of a mark.

Separate completed tasks from future intentions

Record cleaning that was actually arranged or carried out using the information held. Keep a proposed future visit in a different entry until it is confirmed. If an optional surface was discussed but not accepted, do not include it in the current scope simply because it appears in an earlier quotation.

For a continuing service, describe the existing arrangement accurately and identify the contact route for questions. A property handover should not be treated as proof that an account, booking or payment arrangement transfers automatically. The people involved can confirm the next arrangement directly with the business using the relevant service information.

Use a hypothetical pack to test clarity

Imagine a household with a film on one bedroom pane, a glazed rear door and a conservatory that has not been included in previous window cleaning. A helpful pack links the film document to the bedroom, lists the faces of the rear door covered by the agreed service and records the conservatory as a separate potential enquiry.

An unhelpful pack might contain a film leaflet with no room reference, an old message saying all windows and a photograph of the conservatory with no explanation. The difference is the connection between each item and its purpose. The service overview can help the next reader identify the relevant service, while inside and outside cleaning information clarifies the faces being discussed.

Remove detail that does not belong in the pack

Exclude access codes, private account credentials, payment details and unrelated personal correspondence. Keep any necessary private handover information in the appropriate separate process. A care pack should not become a convenient but uncontrolled store for every detail associated with the property.

Review photographs for people and personal documents before including them. Retain only views that locate a relevant feature or explain a particular observation. Date the pack and name its version so the next person can distinguish the current list from earlier drafts. Correct an outdated entry clearly instead of leaving several contradictory versions side by side.

Finish with a short first-action list

End the index with the few decisions still needed: confirm an unknown product, ask about an additional glass feature or arrange a new cleaning enquiry. Give each question a location and a suitable contact category, such as installer, building manager or cleaning provider. Avoid assigning a result before that conversation takes place.

The next reader should be able to choose a first action without reading every attachment. That is the test of a useful handover: enough accurate context to continue caring for the windows, with completed work, product information and open questions kept clear.
